Once upon a time ... (all good stories start like that don't they?), like many lonely entrepreneurs I 'did' everything within the business myself, creating more work in my wake and working harder to keep up, much more than I needed to. Getting caught up in daily tasks again and again without noticing that, often, I was reinventing the same wheel. Or, by spending time on tasks and projects that I wasn't personally suited for doing instead of letting someone else do it.
We all do it now and again ... some of us do it all of the time (sound familiar?). The harder we work on things that don't require it, the less energy (and time) we have for the important parts of our business. The majority of things we do every day are routine. If your going to 'do' a task more than once, create a system for it. Simply write down the process/steps that you take to achieve a task.
I can sense your resistance to this, "if I spend time systematising my business when will I have time to be creative and do the things I love?". Well, here is the rub ... if you don't systematise your business you will have no time at all to be creative because you will be busy, being busy, within your busyness, dancing to everyone else's tune! Let me tell you Princess your ballerina shoes will become very worn; gnawing, nagging feelings of resentment will kick in when you wonder why you ever set out on your own.
Read Michael Gerbers - The E-Myth Revisited who reinforces the truth that establishing an organised and regimented plan within the business, ensuring daily details are scripted free's the entrepreneurs mind to build long term success of your business.
I deliver the training for our Athena franchisees (Regional Directors) and without exception have seen the relief on each Regional Directors face when, on the first day, they receive 'The Athena Way' (Business Operations Manual) and realise that everything, every activity, every communication is documented and templated including a daily plan. The systems that are in place for our Athena Regional Directors ensures that they don't have to re-invent the wheel every day, ensures that they are following a proven system for success and enables them to run multiple businesses and create the life/work balance that we all crave.
So invest in yourself and take the time to systematise your business and free up time to be more creative and do those things that you love. A majority of the things we do every day are routine. If you'll do it again, create a system for it. This way, you'll be able to do a lot of your mundane tasks without using as much energy.
How do you create a system? It's as simple as keeping copies of how you did the work before and writing down the steps you take to complete the task. Sometimes, just scheduling a specific time slot each day or week to document the system for one task within your business is enough to enable you complete your own personal Business Operations Manual within a couple of months.
So, the best productivity tip I have is 'Systematise Your Business'. Celebrate your systems and processes because they allow you to be more creative within your business.
And they all lived happily ever after ...
